This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit aiexcellence.ai, access our prompts or educational resources, communicate with us, interact with our automated social-media communications, subscribe to communications, or otherwise use our services.

1. Who We Are

AI Excellence Group LLC provides educational content, prompts, resources, training, and other materials relating to artificial intelligence, productivity, Microsoft Copilot, Microsoft 365, and related technologies.

Website: aiexcellence.ai

Privacy contact: privacy@aiexcellence.ai

2. Information We Collect

Depending on how you interact with us, we may collect the following categories of information.

Information You Provide

This may include:

  • your email address;

  • your name, if you choose to provide it;

  • information you enter into contact or resource-access forms;

  • communications you send to us;

  • your marketing preferences;

  • information relating to purchases or services if we offer paid products or services; and

  • other information you voluntarily provide.

You are not required to provide personal information unless it is necessary for a particular service. For example, we may require an email address to deliver or provide access to a requested resource.

Information From Social Media and Messaging Platforms

If you interact with AI Excellence through Instagram, Facebook, Messenger, or another social or messaging platform, we may receive information made available through that platform, such as your profile name, platform identifier, comments, messages, and information about your interaction with our content.

We use services such as ManyChat to facilitate certain automated communications and interactions.

Your use of the underlying social-media platform is also subject to that platform's own privacy policy and terms.

Website and Technical Information

When you visit our website, certain information may be collected automatically, including:

  • IP address;

  • browser type;

  • device and operating-system information;

  • referring pages;

  • pages viewed;

  • clicks and interactions;

  • approximate location derived from IP address;

  • timestamps;

  • cookie identifiers; and

  • website analytics information.

We use this information to operate, secure, understand, and improve our website and services.

3. How We Use Personal Information

We may use personal information to:

  • provide prompts, downloads, guides, and other resources you request;

  • respond to questions, inquiries, and support requests;

  • operate and improve our website and services;

  • maintain records of resource requests and communications;

  • administer subscriptions and mailing lists;

  • send marketing communications when you have provided consent or when otherwise permitted by applicable law;

  • understand how visitors use our website and content;

  • prevent spam, fraud, abuse, and security incidents;

  • comply with legal and regulatory obligations;

  • enforce our Terms of Use and protect our rights; and

  • manage our business operations.

Providing an email address to obtain a particular resource does not necessarily mean that you have agreed to receive unrelated marketing communications. Where required, marketing consent is requested separately.

4. Marketing Communications

Where required by applicable law, we will send promotional or marketing email only after you have affirmatively agreed to receive it.

Marketing consent is optional and is separate from providing an email address to obtain a requested resource.

You may unsubscribe at any time by using the unsubscribe link included in our marketing emails or by contacting us at [PRIVACY EMAIL].

We may retain limited information necessary to record and honor an unsubscribe request.

Transactional, administrative, security, or service-related communications may still be sent when necessary even if you have opted out of marketing.

5. Legal Bases for Processing

Where laws such as the European Union General Data Protection Regulation or United Kingdom GDPR require us to identify a legal basis, we process personal information as applicable on one or more of the following grounds:

  • your consent;

  • performing a contract or taking steps at your request;

  • our legitimate interests in operating, protecting, improving, and communicating about our business and services, where those interests are not overridden by your rights;

  • compliance with legal obligations; or

  • establishing, exercising, or defending legal claims.

Where processing depends on consent, you may withdraw that consent at any time.

6. Cookies and Similar Technologies

Our website uses cookies and similar technologies.

Some cookies are necessary for the website to function. Other cookies may support analytics, performance, personalization, or other non-essential functions.

Where required by applicable law, non-essential cookies will not be activated until you provide appropriate consent.

You can use the Cookie Preferences controls available on our website to accept, decline, or manage non-essential cookies.

Changing your preferences does not affect processing that occurred lawfully before the change.

Third-party content or integrations may also use cookies or similar technologies subject to their own privacy practices.

7. How We Share Information

We do not sell personal information for money.

We may disclose personal information to service providers that help us operate our business, including providers of:

  • social-media automation;

  • analytics;

These providers may include Squarespace, ManyChat, social-media platforms such as Meta services, and other providers we use from time to time.

We may also disclose information:

  • when required by law, regulation, subpoena, court order, or valid governmental request;

  • when reasonably necessary to protect our rights, users, property, or security;

  • in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction; or

  • with your direction or consent.

8. Squarespace

Our website is hosted using Squarespace.

When you submit information through a Squarespace form, information may be processed by Squarespace and stored within our Squarespace Contacts and related website-management systems.

Depending on the configuration of a form, a submission may also be delivered to our designated business email account.

Squarespace may also process technical and analytics information necessary to operate and secure the website.

9. ManyChat and Social-Media Automations

We may use ManyChat to manage automated conversations and interactions occurring through social-media and messaging platforms.

When you comment on, message, or otherwise interact with one of our automated social-media experiences, information associated with that interaction may be processed through ManyChat and the applicable social-media platform.

We use this information to respond to requests, deliver links or resources, manage communications, and understand engagement.

10. International Data Transfers

AI Excellence is based in the United States.

Our service providers may process information in the United States and in other countries. As a result, your personal information may be transferred to and processed in countries whose data-protection laws may differ from those where you reside.

Where applicable law requires safeguards for international transfers, we and our service providers rely on recognized legal transfer mechanisms or other appropriate safeguards.

11. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing requested resources, maintaining appropriate business records, complying with legal obligations, resolving disputes, protecting security, and enforcing agreements.

Marketing subscriber information may generally be retained until you unsubscribe or otherwise withdraw consent, subject to retaining limited suppression information needed to honor your request.

We periodically review information that is no longer necessary and may delete or anonymize it.

12. Your Privacy Rights

Depending on where you live, applicable law may give you rights concerning your personal information.

These may include the right to:

  • request access to personal information we hold about you;

We will not unlawfully discriminate against you for exercising applicable privacy rights.

13. California and Other U.S. State Privacy Rights

Residents of certain U.S. states may have additional rights under applicable state privacy laws.

AI Excellence does not currently sell personal information for monetary consideration. We also do not currently use personal information for cross-context behavioral advertising or targeted advertising as those terms are defined by certain U.S. state privacy laws, except to the extent clearly disclosed through our cookie or privacy controls.

If our practices change, we will update this Privacy Policy and provide any choices required by applicable law.

14. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.

These measures include use of secure website connections, access controls, account-security practices, reputable service providers, and efforts to limit access to personal information to people and systems that require it.

No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

15. Sensitive and Confidential Information

Our public website forms are not intended for the submission of highly sensitive, confidential, regulated, or protected information.

Please do not submit passwords, financial account credentials, government identification numbers, medical records, confidential employer information, trade secrets, or other sensitive information through general website forms unless we have specifically provided an appropriate secure method for doing so.

16. AI Tools and Third-Party Services

Our educational materials may instruct or encourage users to interact with third-party artificial-intelligence services, including Microsoft Copilot and other AI tools.

Information that you independently provide to such third-party services is governed by your relationship with that provider and its applicable terms, privacy policy, organizational policies, and security configuration.

AI Excellence does not control how third-party AI providers process information that you submit directly to them.

You should not submit confidential, sensitive, proprietary, personal, or regulated information to an AI service unless you are authorized to do so and your organization's applicable policies permit it.

17. Children's Privacy

Our website and services are intended primarily for adults and professional users and are not directed to children under 16.

We do not knowingly collect personal information from children under 16 through our website. If you believe that a child has provided us with personal information improperly, please contact [PRIVACY EMAIL].

Our website and resources may contain links to third-party websites or services.

We are not responsible for the privacy, security, content, or practices of third-party websites. We encourage you to review their privacy policies before providing personal information.
